The Staff Travel Program Conditions document explains the rules and eligibility requirements for using staff travel benefits.
Applicability
The Staff Travel Program Conditions apply to permanent and fixed-term employees of certain Qantas Group Companies.
The Staff Travel Program Conditions operate in conjunction with other relevant Qantas Group policies.
Staff travel benefits are a privilege extended by the Company and where applicable, by the Company’s approved participating Subsidiary Companies (‘the Company”) at the absolute discretion of the Company.
These conditions do not form part of employees’ employment contracts and create no binding contractual obligations on the Company.
These conditions may also be altered, suspended or withdrawn at the absolute discretion of the Company at any time.
Staff Travel on Qantas, QantasLink, Jetstar and Jetstar Japan services is available to current eligible permanent and fixed term employees of the Qantas Group from day two of employment with the Company.
Staff Travel on interline carriers is available to current eligible permanent and fixed term employees of the Qantas Group after the completion of six months continuous service. Travel conditions for former employees covered under ‘previous’ Qantas International (I Scheme) and Australian Airlines (D Scheme) programs are also referenced in these conditions.
Travel conditions for approved third-party contractors covered under ‘Approved Third-Party contractors to the Qantas Group’ are also referenced in these conditions.
Purpose and Key Principles
The Staff Travel Program Conditions outlines the benefits and conditions of staff concessional (leisure) travel.
Subject to overriding commercial considerations, travel at rebated rates on the Company's services may be available to employees, former employees, and their nominated eligible beneficiaries.
These conditions also relate to former employees who have been terminated under various redundancy packages.
Travel by nominated eligible beneficiaries is at the discretion of the relevant current or former Qantas Group employee.
Refer to the Subsidiary Companies and Airlines Duty and Concessional Travel section of these conditions for eligibility of subsidiary company and airline employees of Qantas.

Post-Employment Benefit Guidelines
Key Principles
Employees may be granted Staff Travel benefits in accordance with the Staff Travel Program Conditions once they leave the Company only where during employment they received Staff Travel benefits.
Benefits under these guidelines are not provided when an Employee resigns from the Company and the employee has a period of eligible service of less than 5 years or when the termination date is prior to 20 June 2016.
These benefits are discretionary and the Qantas Group reserves the right to vary, suspend or withdraw these privileges at any time and for whatever reason, without prior notice.
Specifically, the Qantas Group reserves the right to terminate Staff Travel benefits where an employee subsequently works for a competitor airline, otherwise breaches their post-employment obligations (e.g. breaches confidentiality, solicits employees or customers away from the Qantas Group within a restraint period) or disparages the Qantas Group.
Additionally, the Qantas Group reserves the right to suspend or terminate access to post-employment Staff Travel where there is an outstanding debt owed to the Company by an Employee. Once the debt is cleared (or acceptable repayment terms have been agreed in writing), post-employment Staff Travel benefits may be reinstated.
Other than in the event of an Employee’s death, former Employees are responsible for making all Staff
Travel bookings for themselves and their eligible beneficiaries.
Responsibilities of Managers and Employees
Managers are responsible for:
Advising an Employee of the applicable Staff Travel benefits when an Employee terminates from the Company in accordance with these guidelines.
Employees are responsible for:
Ensuring they are aware of their responsibilities and the conditions of the Staff Travel benefit available to them post-employment from the Company in accordance with these guidelines and the Staff Travel Program Conditions
Ensuring any outstanding debt owed to the Company has been finalised prior to leaving the Qantas Group.

Travel Categories
All current and former employees and eligible beneficiaries, when travelling on staff travel Qantas and Jetstar Group (Qantas, QantasLink, Jetstar and Jetstar Japan) services, are allocated a travel category.
All other passengers travelling on FOC (Free of Charge) or Rebated travel on the Company's services are also allocated a travel category.
The travel category is used to identify duty/staff passengers and place them in the correct order for onload (or offload) and upgrade (or downgrade) purposes.
The category contains information relating to type of trip booked, the seniority of the employee in the Company and length of service.
Concessional travel categories are divided into three designators, each having a separate function; Qantas/QantasLink: Onload Priority, Upgrade Priority, Date of Joining
Jetstar/Jetstar Japan: Onload Priority, Upgrade Priority, Date/Time of booking.
Date of booking is considered the date the traveller booked or modified their flight details.
Travel Priority – Qantas & QantasLink services
| Onload Travel Priority | Upgrade Priority | Date of Joining |
| 50Y | J1880 | 14 MAY 80 |
Onload Priority
The travel priority is divided into two designators; these are priority number and onload class.
| 50 | Y |
|
Onload Priority Number – Indicates the type of trip and/or priority of travel. |
Onload class – The class in which the passenger is booked or listed. |
Upgrade Priority
| J | 1 | 8 | 80 |
| Upgrade Class – Indicates the cabin class purchased to be upgraded to (J for Business, F for First). |
Upgrade Identifier – Relates to traveller type: 1 – Current employee plus accompanying beneficiaries. 2 – Unaccompanied beneficiaries of current employees 3 – Former employee and beneficiaries 40 – Approved third-party contractors and beneficiaries. This priority also applies to Economy Class (where no upgrade has been purchased). |
Upgrade Order – The priority in which the employee/former employee is eligible to in accordance with their job position. Refer to the Upgrade Priority table. | Year of Joining – The staff travel year of joining used for onload and upgrade |
Travel Priority – Jetstar and Jetstar Japan services
| Onload Travel Priority | Upgrade Class | Upgrade Priority | Booking Date and Time |
| 42Y | J | 1 | 14-AUG-2023 19:16:00 |
Onload & Upgrade Priority
| Onload Travel Priority | Upgrade Class & Upgrade Priority | Date of Booking |
|
Onload Priority Number – Indicates the type of trip and/or priority of travel. |
Priority 1 – Employees who are eligible for Business Class through their role or by reaching seven years of service (international upgrade priority numbered between 1-8). Priority 2 – All other current employees receive the next highest upgrade priority (international upgrade priority numbered 9). Once a current employee reaches seven years of service or moves into an eligible role (international upgrade priority numbered between 1-8), their upgrade priority will change to a Priority 1. Priority 0 – Applied to bookings where an upgrade has not been requested or when the travellers are not eligible for an upgrade. |
Booking Date & Time –The date and time stamp of when the booking was made |
Date of Joining
The date of joining (DOJ) is the date on which the employee was appointed to the Qantas Group and may be adjusted due to periods of unpaid leave days which do not count towards service days.
The DOJ complements the Travel and Upgrade priorities to determine onload, offload, upgrade or downgrade between two passengers with the same Travel priority.
The DOJ must be added to complete the employee’s category e.g. 50Y/J1820 DOJ 14 MAY 20
NDOJ (no Date of Joining)
NDOJ is used in lieu of a specific date of joining and included as part of the priority.
NDOJ is used in bookings for other airline employees on leisure and duty travel, non-QF contractors/consultants and duty travel positioning/paxing crew bookings.
Example of priorities with the NDOJ applied include:
| 60Y/Y4000 NDOJ | Priority used for oneworld member airline employee on leisure travel. |
| 17Y/J700 NDOJ |
Priority used for tech and cabin crew paxing/positioning where traveller details are not yet known. The booking is updated when the traveller details are known to include passenger name and date of joining. |
| 30Y/Y4099 NDOJ | Priority used for non-QF employees (contractor/consultant) on duty travel. |
Former employee date of joining
For former employees, the date of joining is adjusted each year post employment by calculating the completed period of service (months and years) from the current date. This will ensure former employees are correctly boarded based on their completed months and years of service.
As an example, a former employee that commenced with the Company 15 July 2000 and service ended 18 December 2010 will have completed a period of 10 years and 5 months service.
In this case, the year of joining will adjust every July (post-employment) to take into account the completed period of service.
Example:
| Current date |
Adjusted Date of Joining |
Calculation |
| 15 January 2016 | 15 July 2005 | Current date less 10 years and 5 months |
| 20 June 2016 | 15 July 2006 | Current date less 10 years and 5 months |
| 15 February 2026 | 15 July 2015 | Current date less 10 years and 5 months |
| 20 June 2026 | 15 July 2016 | Current date less 10 years and 5 months |
Note: Only the year of service is adjusted. The day and month will be as per the former employee’s staff travel appointment date.

Breaches of Staff Travel Program Conditions
Breaches of Conditions
Staff Travel is a privilege that may be altered, suspended or withdrawn at the discretion of the Company at any time. Any breach of these conditions may result in action being taken against an employee, former Qantas Group Employee or any other person who has been or is eligible to receive staff / concessional travel benefits. Such action may include, but is not limited to:
- the suspension of staff / concessional travel benefits;
- the withdrawal of staff / concessional travel benefits;
- the application of full commercial charges for travel provided (including reimbursement to the company of visa infringement fines);
- disciplinary action, including termination of employment (see Standards of Conduct Policy);
- the application of criminal charges.
Use Breaches - Breaches Relating to Use of Benefits
Management of Use Breaches of the Staff Travel Program Conditions
Where travel benefits have been suspended for any current/former Qantas Group Employee and/or any eligible travel beneficiary, then for the term of such suspension the current/ former Qantas Group Employee and/or eligible travel beneficiary cannot access any travel benefit from any other current/retired staff.
The Company may conduct random audits of employees’ and/or their Travel Beneficiaries’ Staff Travel use.
Where an audit identifies potential Use Breaches by an employee and/or beneficiary, the Company may require the employee to demonstrate and substantiate, to the Company’s satisfaction that their and/or their Travel Beneficiaries’ use of Staff Travel has been in accordance with this Policy.
In order to substantiate their and/or their Travel Beneficiaries’ use of Staff Travel in accordance with this Policy, employees may wish to consider retaining any documentary evidence (such as tour itineraries, concert/theatre/theme park tickets, etc.) they believe would substantiate their and/or their Travel Beneficiaries’ use of Staff Travel benefits and would like the Company to consider when conducting an audit.
Where, after being asked by the Company to substantiate their or their Travel Beneficiaries’ use of Staff Travel, an employee fails to satisfy the Company that their and/or their Travel Beneficiaries’ use of Staff Travel has been in accordance with, and not in breach of, this Policy, action may be taken in accordance with the “Breach of Conditions” clause above.
Note: Where a breach of these conditions by an employee warrants disciplinary action, the matter may also be dealt with concurrently, but separately, pursuant to relevant disciplinary procedures.
Examples of Use Breaches
Employees may be required to demonstrate, to the Company’s satisfaction, that:
- They and/or their Travel Beneficiaries’ have not used rebated travel for Commercial Purposes.
- They and/or their Travel Beneficiaries have not wilfully deceived/defrauded the Company in relation to staff travel, including misrepresentation of a third party as an eligible beneficiary.
- They and/or their Travel Beneficiaries have not held both commercial and staff rebated tickets / bookings on the same route (eg: Sydney – London High Priority trip for travel on 1st January) and a commercial for the same day.
- They and/or their Travel Beneficiaries have not attempted to claim any commercial benefit, such as Frequent Flyer points or access to the Qantas Club against staff travel tickets.
- They and/or their Travel Beneficiaries have not used travel concessions for, or as part of, any negotiation or settlement process involving the employee and a third party (including a nominated travel companion).
- They and/or their Travel Beneficiaries have not received financial, commercial or any other form of gain in relation to the distribution of staff travel beneficiary benefits eg: the sale of staff travel benefits or the attempt to sell or facilitate the sale of, staff travel benefits in any matter what so ever.
- They and/or their Travel Beneficiaries have not solicited rebated travel tickets from other airlines, without the explicit authority of the appropriate Executive Manager or Regional Manager.

- They and/or their Travel Beneficiaries have not committed any other act in relation to the use of Staff Travel benefits which may be in breach of these conditions.
- They and/or their Travel Beneficiaries have not purchased interline tickets for which they are not eligible.
Conduct Breaches - Breaches relating to conduct while using Benefits
Management of Conduct Breaches of the Staff Travel Program
If a possible breach of the Staff Travel Program Conditions is identified, the matter will be managed in accordance with the following general process:
- The Company will seek details of the alleged breach of Program Conditions. If it appears that the conduct, if substantiated, may warrant disciplinary action, a concurrent disciplinary investigation should be conducted pursuant to the Standards of Conduct Policy;
- The Company will contact the employee with whom the alleged breach of Program Conditions is associated ("Respondent") to inform them of the allegations and ask them for their response to the allegations;
- The Respondent will provide the Company with their response to the allegations;
- The Company will consider the allegations, the response and any other relevant evidence and information and will determine that:
- The allegations are unsubstantiated and no action is necessary; or
- The allegations are substantiated and discretionary action should be taken (which may include the suspension or withdrawal of staff travel benefits); or
- The allegations are substantiated, discretionary action should be taken (which may include the suspension or withdrawal of staff travel benefits) and a disciplinary investigation should be conducted if one has not already commenced.
- The company will inform the Respondent, in writing, of the outcome of the investigation and any action being taken.
Examples of Conduct Breaches:
- Failure to obtain appropriate authorisation to leave work early or return to work on time when using staff travel.
- Use of staff travel while an Employee is directed to not attend work for any reason, without the prior written approval of the Employee’s Manager or another Manager nominated by the Company.
- It is against Company Policy to purchase, both, a booked commercial or confirmed staff ticket (Long Service and High Priority Trip bookings) and a staff space available ticket for travel on the same flight and attempt to utilise the staff space available booking against the commercial or confirmed staff booking.
- Disregard of laws or customary practices whether or not such resulted in financial loss or embarrassment to Qantas or the Australian Government (this includes violation of visa/customs regulations).
- Misbehaviour or misconduct will not be tolerated, whether it be in person or by telephone, at a Staff Travel office, Airport Terminal, aboard an aircraft or anywhere else where the employee/beneficiary is receiving rebate travel or airline discount privileges.
- Staff passengers must not request seat changes with commercial passengers on board an aircraft.
- Any act or omission by an employee/beneficiary which delays an aircraft's departure.
- Failure to board an aircraft that the staff traveller has been accepted for travel and onloaded to ie: assigned a seat number via airport check-in or online check-in and the staff traveller has not presented for uplift on the designated flight.
- Dishonour of any form of payment for staff travel tickets will result in an automatic temporary suspension of all travel benefits until the matter is finalised.
- When credit card or debit card payments are rejected a service fee may apply.
- Altering staff travel bookings and / or tickets to conditions different to the original conditions of issue, without authority from the Staff Travel office.
- Using Qantas IT systems to on-load or upgrade a staff travel ticket (or block seats for staff travellers) outside of Airport normal operating procedures or when not rostered on duty.
- Accessing restricted areas when travelling on a staff ticket e.g. accessing aerobridge prior to boarding commencement, opening aerobridge door on exit from aircraft, accessing restricted areas such as ramp, etc when not on rostered operational duty.
- The addition of frequent flyer information to staff travel bookings is not permitted.
- Sharing confidential company information (for example, load information) on public forums including but not limited to Facebook, Twitter (X), etc is not permitted.
- Use of oneworld travel by Group A travel companions where they do not remain listed as an eligible beneficiary for at least 12 months.
- Any other breach of Company policies.
Note: Where a breach of these conditions by an employee warrants disciplinary action, the matter may also be dealt with concurrently pursuant to relevant disciplinary procedures.
Restrictions with Dismissal or Misconduct
An employee summarily dismissed or terminated for misconduct, may not benefit from the Staff Travel Program available to another employee, viz Brother, Sister, Spouse, Parents or Travel Companion etc.
Additionally, a current employee may not nominate a former employee (or a former travel beneficiary), who has had their travel benefits terminated, as a travel beneficiary.
Recreational Use Only
Travel concessions are only to be used for tourism, leave and recreational purposes. These concessions may not be used for private business or services for third parties.
Benefits are extended to Travel Companions for the purposes of increasing employees’ enjoyment of staff travel by allowing employees to travel with a companion of their choice for leisure purposes. It is not intended that Travel Beneficiaries be provided with concessional travel for purposes that are not connected with the employee.
Non-Transferable
Travel concessions are personal and not transferable.
Breach of Staff Travel Conditions
Breach of these conditions will result in disciplinary action which may include:
- Re-imbursement to the Company of the difference between the rate of travel used and the commercial rate applicable at the time of travel;
- Loss of staff travel benefits; and/or
- Termination of employment.
Unfit for normal duties
Use of staff travel whilst unfit for normal duties
An Employee who is unfit for normal duties is not permitted to use staff travel during the period in which the Employee is unfit or partially-fit without obtaining prior approval as specified below. This includes, but is not limited to, Employees who are subject to working restricted duties, on Sick Leave, Workers Compensation or Temporary or Initial Disability benefits (eg. paid through the Qantas Superannuation Scheme).
The request must be linked to a specific trip or trips and cannot be for an open-ended period or for an unspecified destination.
The process to obtain approval is as follows:
- A Staff Travel Medical Clearance Form must be completed by the Employee and their treating doctor at least 14 days prior to any travel, and
- The Staff Travel Medical Clearance Form must be submitted to the Employee’s manager at least 14 days prior to the travel. The Manager is responsible for approving the Employee’s use of Staff Travel whilst unfit, and
- The Manager may delegate approval to an Occupational Rehabilitation Advisor and/or Qantas Medical at their discretion
Approval of Employee requests submitted within 14 days of intended travel is subject to the Manager’s discretion.
The purpose of these clearances is to ensure that the Employee is medically fit for the purpose of air travel; that their condition is not likely to be aggravated by the proposed travel; and that the proposed travel is not likely to interfere with medical treatment, rehabilitation or recovery. Employees who are currently certified as medically unfit for all duties are generally not fit to undertake air travel due to the implied severity of their medical condition. Managers should discuss such cases with an Occupational Rehabilitation Advisor and/or Qantas Medical. Employees with relevant medical conditions must also meet the Qantas Passenger Clearance Guidelines.
For approved Staff Travel Medical Clearances, employees should take into consideration how care will be accessed and/or funded for any injury or illness that may deteriorate or exacerbate whilst travelling. It should be noted that standard travel insurance may not cover persons for conditions that are pre-existing, and conditions related to compensable injury may not be covered by the associated insurer should the condition exacerbate or deteriorate whilst travelling. Employees may personally be liable for any costs incurred in these scenarios and should seek their own advice regarding travel insurance under these circumstances.
An employee may not use staff travel during a period of being unfit for normal duties where -
- Any part of the Staff Travel Medical Clearance Form remains incomplete; or
- Appropriate approvals have not yet been issued as per items 1 or 2 above.

Economy: One carry-on bag per passenger*, plus one small personal item, with a combined weight of no more than 7kg. Business: Two carry-on bags per passenger, each 7kg or less, plus one small personal item, with a total combined weight of 14kg. *Passengers do not include infants who are not occupying a seat. |
In addition to your carry-on baggage allowance, you may also carry onboard one small personal item such as a handbag, laptop computer*, overcoat, small camera, a reasonable amount of reading material or a small amount of duty-free goods (where permitted).
When packing your carry-on baggage:
- Ensure you take essential medication and prescriptions onboard with you in your carry-on.
- Keep it as light as possible as there can be considerable distances to walk at some airports and space inside the cabin is limited.
- If you're carrying fragile or valuable items, ensure they are appropriately packed.
USA flights only: there is no limit on the number of pieces of mobility equipment allowed to be carried for customers with a disability and it doesn’t count toward the carry-on baggage allowance.
Baggage Policy – Australian Domestic services
All Qantas Group staff travellers travelling on duty or leisure travel within Australia only will be required to wait for the next available flight if their baggage does not arrive on the flight they have travelled on.
This standard will be adhered to only when the next arriving flight from the point of the passengers’ origin is within 1.5 hours of their arrival at the destination airport.
If the next available service from the point of the passenger's origin is in excess of 1.5 hours or if the passenger’s baggage fails to arrive on the next scheduled service, then a mishandled baggage file will be raised, and the staff member will be subject to the standard conditions, policies and procedures as a full commercial passenger.
Please note - the limits set out above take priority over any other limits set out on qantas.com or your e-ticket.
Unaccompanied Minors and Young Passengers
To ensure the protection and safety of the children of employees and former employees, when travelling on Qantas Group services, certain children must travel as unaccompanied minors and others may be required to have an Escort travelling with them.
The following regulations apply to travel on Qantas services only and are in addition to and subject to the conditions contained in the "Airport Product and Service Manual" (Airport reference guide).
Travel Categories – Unaccompanied Minors
The unaccompanied onload and upgrade priority will be applied to children travelling unaccompanied. Unaccompanied children are eligible to travel in Economy Class only.
Acceptance for Travel
Travel for unaccompanied minors shall be on an end-to-end basis only. Stopovers are not permitted en route.
Irrespective of the Travel Category or booking status, unaccompanied minors will not be accepted for travel on flights where it is anticipated that an offloading may occur en route.
If, however, unaccompanied minors are accepted for travel they will not be offloaded en route for any reason.
The above regulations will be applied at the discretion of Airport Handling staff.
Escort requirement
A passenger aged 16 years or over may accept responsibility for an unaccompanied minor 11 years of age or under.
The unaccompanied minor in this situation may travel at any applicable rebate and as such may have a different Travel Priority and Seating Priority to the escort.
With regard to upgrades to First or Business class, children may not be granted an Upgrade Class higher than they would normally receive when travelling with their parents or the upgrade class of the escort (whichever is lower). The Escort and child must travel in the same class.
Important Note: In a situation where seating availability is minimal and it becomes necessary to offload one or other in the part, both passengers will be offloaded.

Operating Crew (Qantas Airlines) – Special Conditions
Children of operating crew members, aged 6-15 years inclusive, who travel on the same aircraft as their parent are regarded as travelling alone and must be considered as an unaccompanied minor.
However, should an operating crew member wish to take any of their children on their operating pattern, the requirement that, a parent/guardian be nominated for the country of disembarkation and a person be nominated to meet the unaccompanied minor at the destination port will be waived.
The Company cannot guarantee that the crew member's operating pattern will not be changed after departure from their home port. Furthermore, the Company's prime concerns are firstly the welfare of the child and secondly, assurance that the presence of the child will in no way be detrimental to the performance of the crew member.
For these reasons, the following precautionary regulations will be applicable.
- Staff Travel may only be undertaken on non-restricted flights.
- Children under 6 years of age cannot travel without an escort (operating crew are not classified as escorts). Exception: Children aged 5 years may travel as unaccompanied minors on services of up to six hours duration.
- Children aged 6-15 years inclusive may travel on either single or multi sector flights and be considered unaccompanied minors, in accordance with the above special conditions.
- Travel is permitted in Economy class only. Exception: In accordance with special provisions, children of operating Qantas Airlines Long-haul and Short-haul Tech Crew may be permitted to purchase upgrade tickets for travel in the First or Business cabins.
Accompanied Travel priority for beneficiaries of operating tech and cabin crew:
Eligible Group A (spouse/defacto/domestic partner/travel companion) and Group C (children under 24 years of age) and Group D (children aged 24 and above) beneficiaries of tech and cabin crew of eligible Qantas Group entities may be allocated the accompanied onload and upgrade priority when accompanying the operating crew member.
- Crew member to book travel via Staff Travel Online (book as unaccompanied travel)
- Email details of the booking reference number and a copy of the crew member’s operating pattern and roster to stafftravel@qantas.com.au to have the priority updated from unaccompanied (51Y) to accompanied (50Y) travel.
- Please allow at least three days for the email to be actioned by the team
- If the Group C and/or Group D child is travelling without the Group A beneficiary, the priority remains as unaccompanied travel.
Exception for Qantas Airlines Long-haul and Short-haul Tech Crew: Group C and Group D children can be booked without the Group A beneficiary, and the priority is updated to accompanied. The purchase of upgradeable tickets is permitted when booking a Group C child under the age of 18 years. - Group B and E beneficiaries are not eligible for the accompanied priority when accompanying an operating crew member.
Re-employment within Qantas Group
A permanent employee with post-employment benefits current at the date of re-employment (gained from a former employment with the Qantas Group), will become eligible for the staff travel benefits of a current employee immediately on appointment.
If the previous travel benefit was available for a specific time frame, this time frame will not be extended upon subsequent termination.
On subsequent termination the employee can use the staff travel benefits applicable to the most recent employment period and/or those of their former employment period.
Re-employment within 3 months
A permanent employee who had previously terminated from the Qantas Group and was subsequently re-employed by the Qantas Group, with a maximum three months break in employment, will be eligible to Qantas Staff Travel benefits immediately and may be recognised for their previous service for staff travel purposes (that is, the staff travel date of joining may be adjusted to take into account the previous service with the Group for staff travel purposes only).
Re-employed post termination by Ill Health, Disability or Workers Compensation
An employee that terminated from the Company as a result of Workers Compensation, or terminated (or resigned) due to recognised ill-health or disability reasons, and is re-employed by the Company in their original position, within a 4 year period of their termination date, will, for Staff Travel purposes, be recognised for their previous service less the time absent from the position.
The adjusted staff travel date of joining is for staff travel purposes only and will not apply for any other employment benefits.
Long Service Recognition trips/sectors milestones will be in accordance with the new and adjusted date of joining.
The Long Service Recognition trips/sectors balances from the 'previous' employment period will continue as per normal anniversary date.
Compassionate Travel
Approval may be granted, at short notice, for current employees requiring ticketing for travel of an urgent compassionate nature, involving bereavement or serious illness of members of the employee's immediate family, or the immediate family of the employee’s spouse.
The definition of immediate family of the employee is restricted to the following relationships to the employee:
Spouse/domestic partner, children, parents/step-parents, brothers, sisters, grandparents, grandchildren, father-in-law, mother-in-law, brother-in-law, sister-in-law, son-in-law, and daughter-in-law.
Cousins, aunts and uncles etc., nominated Travel Companions, who are not immediate family; do not qualify for the compassionate travel category.
Former employees and/or their family members do not qualify for the Compassionate priority.
An employee wishing to request compassionate travel for themselves or their eligible family members should contact their manager or their Departmental People Manager who will then seek advice from Qantas Staff Travel about the possibility of applying a compassionate travel category. The Manager or Departmental People Manager may require documentary evidence to validate the compassionate request.
If the travel is of an immediate nature (i.e. within 24 hours of next available flight) and opportunities for travel on the outward journey are limited, consideration will be given to the allocation of a Compassionate Travel Priority on Qantas and Jetstar Group services to assist with passage.
The allocation of a Compassionate Travel Priority will be at the discretion of the Staff Travel Department or nominated out-station representative.
Compassionate travel is viewed seriously by the Company. All efforts are made at home base and on-line ports to ensure safe and easy passage thus minimising any distress to the employee and/or other beneficiaries. Any staff member found abusing Compassionate Travel will have disciplinary action taken against them as per the Standards of Conduct policy.
Employees who have been granted Family Leave as per the Family Leave Policy may be eligible to Compassionate Travel providing approval from the relevant People Manager is received.
Compassionate Travel Eligibility
Employees who have qualified for concessional travel upon employment, are eligible for Compassionate Travel consideration for travel on Qantas and Jetstar Group flights.
Requests made during Staff Travel operating hours
Requests for compassionate travel during Staff Travel operating hours should be directed to the employee's Human Resources Department.
Should approval be granted the People Department or representative shall contact the Qantas Staff Travel Department, or at outstations the Staff Travel representative, to arrange a booking.
Staff Travel Phone business hours are:
(AEST) 0800-1600 Monday to Friday
Email address is stafftravel@qantas.com.au
Requests made outside Staff Travel operating hours
Arrangements for handling requests for compassionate travel outside Staff Travel operating hours are at the Station Manager's discretion.
Employees are reminded that the relevant management teams may only approve requests of an urgent compassionate nature, involving bereavement or serious illness of the employee or employee spouse's immediate family.
Requests for non-compassionate travel cannot be approved. Such travel should be booked via Staff Travel Online only.
Specific Needs
Qantas recognises that some employees and their beneficiaries may have specific needs when travelling, either for medical or religious reasons, and as far as is possible, we do not want these needs to restrict employees from using staff travel.
At the time of application for staff travel tickets, it is important that employees contact the Qantas Staff Travel office or the Jetstar Trade Line to provide full details of those passengers with specific needs, in order that appropriate advice and relevant action, if applicable, can be taken.
However, the nature of staff travel does have limitations for everyone and those less able should give consideration to the practicalities of undertaking travel, especially on a space available basis.
On occasions where travel is undertaken, employees and their beneficiaries should be aware that, in line with regular Staff Travel Program Conditions, ground and cabin staff must not be diverted from their normal duties towards our commercial customers, and, so far as is possible, the employee and beneficiary should be responsible for providing any care and attention required.
The information below is related to travel on Qantas Airways flights only.
Other carriers may have different or less flexible procedures. It is recommended that employees contact the relevant airlines for guidance if they are considering travelling on their services.
Wheelchairs
Any requirement for a wheelchair should be made known at the time of booking application. The availability of wheelchairs for staff passengers will be subject to commercial requirements and this, combined with the uncertainties of staff travel, make it impossible to guarantee the provision.
Wheelchairs, if provided, will only be made available for use within the terminal building. Employees or their nominees may travel with their own wheelchair or any other mobility vehicle. If you are travelling with a battery powered mobility aid, you're required to obtain dangerous goods approval for it.
Plaster Casts
Employees and/or eligible nominees with limbs in plaster will be permitted to use rebate travel concessions. If a plaster has been applied within 48 hours of expected travel, the plaster must be split prior to travel. Travel clearance is required if travelling with Jetstar within 7 days of fracture/cast application in accordance with the Qantas Group Medical Clearance Guidelines.
Stretcher Cases
There are no facilities available to employees or eligible nominees for the carriage of a stretcher case using rebate travel concessions. Employees should contact their Insurance Company for assistance.
Blind/Deaf Passengers
Employees who are blind, partially sighted, deaf or hard of hearing may authorise a designated beneficiary to conduct all booking transactions on their behalf.
In line with provisions made for similarly placed commercial passengers, employees and/or their beneficiaries in this category may travel unaccompanied providing they are self-reliant and able to conduct all formalities and personal requirements themselves.
Travelling with a Service Dog
Staff travellers are eligible to travel with a Guide, Assistance or Hearing Dog. Employees are advised that quarantine restrictions may apply.
The following conditions/requirements are in place in order to accommodate the Service Dog:
- The dog must be a Guide or Hearing Dog, otherwise the staff traveller will need to complete an application form at least 7 days prior to planned travel;
- The staff traveller must carry their own moisture absorbent mat as there may be insufficient notice for the airport to provide one;
- Due to safety considerations the dog must be seated in an Economy Class window seat, with the handler sitting in the middle seat. If this is not possible due to the seating location of commercial passengers, the staff traveller may not be accepted for travel or may be offloaded from the flight, even if there are single seats available elsewhere on the aircraft;
- Where a bulkhead seat is not available, the dog will be seated in a regular seat with less room for the dog;
- It is preferable that the staff traveller and dog are pre-boarded if at all possible.
This is to enable an individual safety brief, placement of the moisture absorbent mat and to ensure the dog is tethered to the seat leg in accordance with the relevant regulations and cabin procedures. If they are last to board, this has the potential to cause a delay due to the requirements mentioned. - All of the dog’s details will be managed by the Staff Travel office.
- Please contact the Staff Travel office with the booking reference and following information:
- Name of dog
- Type of service dog (example; vision or hearing-impaired service dog)
- Length of dog (in centimetres)
- Weight of dog (in kilograms)
- Training Organisation
Special Meals
Regrettably, it is not possible to pre-book special meals for staff travel passengers, and therefore employees and their eligible nominees who for medical or religious reasons require a special diet, must provide their own food, in sufficient quantity, to last them for the duration of the flight.
Medical Conditions
All passengers with medical conditions, e.g. chronic heart and / or respiratory disease or who have undergone recent surgery must complete the necessary Medical Information Sheet and seek clearance from Qantas Aviation Health Services.
All passengers who require medication during a flight are responsible for ensuring they have sufficient quantities of the medication to last the duration of the flight and that this medication is readily accessible i.e. not packed in checked baggage. The passenger is responsible for providing appropriate storage containers for any medication.
Passengers should be aware that any treatment or medication must be self-administered. Cabin staff must not be approached and asked for assistance except in an emergency. Passengers may travel with their own essential medical equipment e.g. peritoneal dialysis, providing any necessary equipment is carried in line with the respective Conditions of Carriage. Details of the conditions of carriage of medical equipment may be obtained from the Qantas Aviation Health Services department or from the relevant page in AIS Topic: Medical Handling. Prior approval may be required for certain equipment due to Dangerous goods.
Passengers requiring an oxygen cylinder(s) inflight are advised that they cannot use staff travel. Due to the unconfirmed nature of staff travel, there can be no guarantee of uplift of the passenger and as the oxygen cylinder(s) require installation on the aircraft well ahead of departure, it is impracticable to permit staff passengers to travel under these circumstances. Passengers requiring oxygen cylinder(s) are advised to contact commercial reservations and ask for Special Handling.
Jetstar does not provide travel oxygen for passengers – it must be supplied directly by staff travellers if required.
On some Jetstar operated flights, you may bring on board a portable oxygen concentrator or an oxygen cylinder – please refer to the list below:
- Jetstar Airways (JQ) Airbus A320/A321 and Q300 - a concentrator or a cylinder is allowed on board
- Jetstar Airways (JQ) Boeing 787 Dreamliner - you may bring a concentrator on board. However, a cylinder is not allowed on board
- Jetstar Japan (GK) Airbus A320 - neither concentrators nor cylinders are allowed on board
All Travel Oxygen concentrators and cylinders must be approved as per Commercial passenger process. You must complete and then submit a Qantas Group Medical Clearance Form at least five business days before you travel to be approved for travel for Jetstar (JQ coded) fights.
Jetstar Japan (GK) cannot make any provision for customers who require travel oxygen.
For requirements, responsibilities and documentation for Portable Oxygen Concentrators and Oxygen cylinders please find Jetstar’s Travel Oxygen website: http://www.jetstar.com/au/en/help/articles/travel-oxygen.
